How many bottles of wine for 300 guests?
Three hundred guests at a gala or a conference dinner drink 260 bottles, 300 once rounded up to the case: fifty cases, one bottle per person. At this scale, you no longer put everything in bottles. The table wine stays in bottles; the rosé at the bar, and the white for the reception if you like, go into bag-in-box. Service is faster, fewer bottles get opened, and the bill drops by about a quarter on those volumes.

Rosé is only drunk at the bar, during the reception and the party. Forty-eight bottles make 36 litres, so eight 5-litre bag-in-box: eight taps to open instead of forty-eight corks.
The reception, not the dinner
The white for the reception, twenty-four bottles of consumption, fits in four bag-in-box. The white for dinner stays in bottles, placed on the tables with the red.
Always in bottles
Champagne doesn't come in bag-in-box. The eighty-four bottles of sparkling remain the heaviest item at the bar, in volume as in budget.
About a quarter less

How many bottles of wine for 300 guests at a gala?
Two hundred and sixty bottles of consumption for a one-hour reception, a dinner and a two-hour party, 300 to buy in cases: ninety red, seventy-eight white, forty-eight rosé, eighty-four sparkling. Without the party, 234. At the “good” level, count about €5,800, so €19 per guest; €3,830 at the decent level.
How many waiters and bars for 300 guests?
One waiter for thirty seated guests: ten at dinner. One for forty standing: eight at the reception. And one bar for 80 to 100 people standing, so three to four bars, with one person behind each. One flute and one wine glass per guest, plus 5% for breakage, makes 630 glasses at the very least: the glasses and waiters page does the full count. The venue imposes its caterer: do we need a wine merchant?
Perhaps not. Many conference centres and gala venues impose their own caterer, with their wine or a corkage fee. If wine is included in the package, you don't need us. If there's a corkage fee, do the sums on 300 bottles before deciding: the corkage page does it for you.
How is the wine for a 300-guest gala delivered?
On one pallet, the day before, at the venue, to a named contact with lorry access; charges are to be confirmed on the quote. The costly mistakes
- Bag-in-box on the tables. At dinner, the tap is visible and the bottle is part of the meal. Bag-in-box goes to the bar, or into carafes filled in the back kitchen.
- Taking the bag-in-box out that same morning. Five litres won't chill in an ice tub in an hour. Somewhere cold the day before, then the tub.
- Counting 100% drinkers at a conference. Between drivers, speakers on the next day and those who don't drink, 75% is already generous.
- A 20% margin. At three hundred, going from 10 to 20% adds twenty-six bottles, more than four cases. Unopened cases are not taken back.
