150 guests · the pallet threshold

How many bottles of wine for 150 guests?

At a hundred and fifty, the scale changes: 160 bottles drunk, around 190 in cases, thirty-two cases, one pallet. The wine is no longer a purchase but a logistics job: who receives it, where it waits, who serves it, how it gets cold. The calculator gives the quantities; the page deals with the rest.

The calculation for 150 guests

Set for a two-hour drinks reception, a seated meal and a three-hour party, 80% adults who drink: the shape of a large wedding or an annual company party.

Moment by moment, for 120 drinkers

Orders of magnitude; the calculator gives the exact figure. 10% margin and rounding up to cases of 6 per colour.

Thirty-two cases, a little over 400 kg with the glass. That doesn't fit in a car boot.

What changes above 120 bottles

Delivery

A pallet, not parcels

Above 120 bottles, transport switches to pallet, priced on quote. You need lorry access, someone present, and somewhere to put it. Often two delivery points: the venue for the meal, your home for the rest.

Service

Five waiters at the tables

One waiter per thirty seated guests, one per forty standing, plus one at the bar. At a hundred and fifty, that is five people for the meal and four for the drinks reception. Wine served well is a staffing cost.

Glasses

Over 300 glasses

A flute and a glass per guest, five per cent breakage: 315 glasses to hire or find. The page how many glasses to plan does the count, staff included.

Cooling

The day before, not on the day

A hundred and forty-four bottles of white, rosé and sparkling to chill. A cold room at the caterer's or at the venue, the day before. Ice tubs top it up; they aren't enough on their own.

How many bottles of wine for 150 guests over a full day?

A hundred and sixty bottles drunk for a drinks reception, a meal and a three-hour party, 192 to buy in cases: forty-eight red, forty-eight white, thirty-six rosé, sixty sparkling. Without the party, allow 130 in cases.

Should you deliver to the venue or to your home?

The meal and the drinks reception to the venue, the day before, in a cool room the caterer knows. The party and the reserve to your home if the venue doesn't store. Two addresses, two time slots, someone present each time: the delivery page details the lead times and what a pallet requires.

Is this the calculation for a wedding of 150 people?

Yes, that is its shape. The wedding wine page adds corkage, the brunch and the calendar; this page deals with the volume and the logistics that come with it.

And if there turn out to be only 100?

The 100 guests page drops back below the pallet threshold, and logistics goes back to being a matter of parcels. And if they become two hundred, the 200 guests page adds a second bar and splitting the pallet on site.

Expensive mistakes

  • Ordering for 150 the way you would order for 50, three times over. Volume changes the rules: pallet, staff, cooling the day before. What can be improvised at fifty has to be planned at a hundred and fifty.
  • A single delivery point with no storage. Thirty-two cases in a town hall lobby that is locked on Saturday: it happens.
  • Too much rosé. Twenty-eight bottles drunk, thirty-six in cases: rosé is the colour that gets left over. Unopened cases are not taken back.
  • Underestimating service. Without waiters, bottles all get opened at the same time and are left half-empty. Waste comes from service, not quantity.

The general calculator does the same sums for any number of guests.
