Wine for a gala dinner: 200 seated guests, service and large formats
A gala is 200 people sitting down at the same time and expecting the same wine at the same moment. The problem is not counting the bottles, it is serving them: 25 tables, a white then a red, magnums where people are looking, staff who keep up, and the wine delivered the day before. What 200 people drink, table by table
For 200 guests of whom 160 drink, the model counts two glasses per drinker during the hour of drinks, or 53 bottles before margin, and three glasses at dinner, or 80 bottles. With the 10% margin for a seated meal and rounding up to the case of 6 per colour, that comes to 156 bottles: 30 sparkling, 54 white, 12 rosé, 60 red. Twenty-six cases, one pallet, and 0.78 bottles per guest: a gala drinks less than a wedding because it finishes earlier and people talk more than they dance.
The white and the red at the table
Two bottles of white then two of red per table of eight, plus two in reserve at the pass for each course. The waiters don't have to go back for more.
Magnums
A magnum holds two bottles and can be seen from across the room. On the three or four top tables, it replaces the bottles and sets the tone for the evening. The formats page compares the costs.

The budget at the “good” level
About €2,800 for 200 guests with champagne at the drinks. The “grand cru” level rises to €28 a head; keep it for the red with the main course, not the white at the drinks.
The main course wine, and the day before
The main course at a gala is almost always red meat or fine poultry, served to 200 in twelve minutes. The wine has to be open and ready before service, which rules out fragile old vintages and points to a Médoc or a Saint-Émilion of 5 to 10 years that can stand upright for an hour. Everything arrives the day before. Twenty-six cases can't be unloaded on the night itself between the florists and the caterer: the pallet is delivered to the venue the day before, to a named contact, with lorry access. The whites and sparkling go into the cold room that evening; the reds stay in the room at 18 °C. On the day, an ice tub at the pass keeps the whites cold between courses. How many bottles of wine for a gala of 200 people?
Around 156 with an hour of drinks and a seated dinner: 30 sparkling, 54 white, 12 rosé, 60 red, 10% margin and rounding up to the case included. Without drinks beforehand, 100 to 110 bottles are enough. The calculator adjusts to your number of tables. Do you need magnums at a gala dinner?
On the top tables, yes: the effect is real and the cost is 10% more per litre. On 25 tables, no: magnums are slower to serve and complicate the pass. Three or four magnums of red for the tables that matter, bottles everywhere else.
How many waiters to serve wine to 200 seated guests?
One per 30 guests, so seven in the room, plus two at the bar during drinks. The red is uncorked before service and put on the tables when the main course arrives: serving 200 people by the glass takes too long.
When should the wine for a gala be delivered?
The day before, on a pallet, to the venue, to a contact who is there, with lorry access. On the day, the loading bay is taken by the caterer and the florists. Whites and sparkling in the cold room overnight, reds in the room at 18 °C.
Mistakes that can be seen from the stage
- A red served too warm. A room at 24 °C with 200 people brings the wine up to 22 °C in an hour. The reds wait in reserve, not on the tables before the main course.
- No wine on the tables at speech time. The toast is made with sparkling at the drinks; at the table, the white must be poured before the president stands up.
- A 20% margin. At 200 guests, 20% too much means five cases that are not taken back. The model counts 10% and reserve bottles at the pass, not reserve cases.
