Wine for a surprise birthday party: forty guests, and nobody must see a thing
For a surprise party, the amount of wine is the easy part. The real issue is everything that can give the party away: cases delivered to the front door, a quote landing in the wrong inbox, a date that could not be checked with the person concerned. Here is how much to plan for forty people, and how to have it delivered to a friend or to the venue without a thing leaking out.
The party calculation
Set for 40 guests: two hours of drinks, including the toast on arrival, then a dinner or a seated buffet, 80% drinkers. If the surprise is only an aperitif, untick the meal; if there is dancing afterwards, tick the evening party.

The guests arrive first, the birthday person walks in, everyone raises a glass. Three glasses per drinker over two hours: thirty-two drinkers, sixteen bottles, half of them sparkling for the toast.
The dinner
Seated or buffet, three glasses per drinker: another sixteen bottles, roughly ten red and six white. This is when you serve the wine you really chose.
The delivery
To a friend, to the venue, never to the birthday person's address. A week before at the earliest, so the cases do not sit at someone else's house for a month.
The raw count is 32 bottles; with the 10% margin of a seated meal and rounding to the case for each colour, the calculator shows 42: 12 sparkling, 12 white, 6 rosé, 12 red, seven cases. At the “good” level, €816, a little over €20 per guest.
The logistics of a surprise
Another address, another inbox, a date that holds
The delivery address. Have it delivered to an accomplice or straight to the venue: a hall, a restaurant that accepts a corkage fee, a friend's house. In the request, give the name and phone number of the person receiving it, not yours if you live under the same roof as the birthday person: that is the number the carrier will call. The person on site must be able to sign, count the cases and keep them cool until the day. The quote and the invoice. The quote goes to the email address entered in the form, and to that address only: use your own, not a shared inbox or a family computer. Say in the message that the invoice must be in your name and that the delivery address is different: we confirm on the quote how it is made out. And if you pay from a joint account, think of the bank statement: a payment to a wine merchant three weeks before a birthday gets noticed.
The date fixed early. A surprise cannot be moved: you cannot ask the birthday person whether they are free another Saturday. Settle the date with the accomplice receiving the delivery and with the venue, then place the firm order six weeks before, as for any event; the page when to order the wine sets out that timetable. The earlier the date is fixed, the easier it is to arrange delivery to someone else.
How many bottles for a surprise birthday party for 40 people?
Thirty-two as a raw count for two hours of drinks and a dinner, 42 rounded to the case: 12 sparkling, 12 white, 6 rosé, 12 red. Without dinner, a two-hour drinks party on its own needs 16 as a raw count. At twenty guests or fewer, the calculation stays in single bottles and tells you that you don't need us. Can the wine be delivered to an address other than your own?
Yes: the delivery address is the one you give, in mainland France, at a friend's or at the venue, provided someone is there to receive it. Costs depend on the destination and the number of bottles; they are to be confirmed on the quote.
How do you count guests when everything is done in secret?
Count the confirmed, not the invited. Replies come late and by roundabout routes; wait for them before placing the firm order. Unopened cases are not taken back: better one case fewer and a trip to the wine shop the day before than one case too many that the birthday person finds in the garage.
And the bottle from the birth year?
It is often the best present at a surprise party: opened at dinner, in front of the birthday person, after the toast. For a milestone birthday, the page birth-year vintage says what each year from 1945 to 2010 is worth, and the page 50th birthday does the count for a party at that age.
What gives a surprise away
- Cases delivered to the house. Even a discreet carrier rings, calls or leaves a delivery card. A third-party address, always.
- A quote or confirmation email in a shared inbox. An address that is yours alone, and a phone that is not lying on the living-room table.
- Flutes poured in advance. You never know to the minute when the birthday person will arrive. Bottles in the ice tub, someone at the window, and you open them when the door opens.
- Ordering for the invited, not the confirmed. A surprise party always has absentees. Extra cases stay with you.
